How can I sign Minutes with Docusign and Qualified Electronic Signature (QES)?

What is the Docusign integration?

Sherpany offers the possibility to sign your Minutes PDF using your own Docusign account. This complements the existing Sherpany signature method.

You can sign with:

  • Advanced Electronic Signature (AES)
  • Qualified Electronic Signature (QES) - (depending on your Docusign setup)

Information  

You need a valid Docusign account to request signatures. This provides your organisation with more flexibility and aligns with stricter legal requirements.

What is the difference between AES and QES?

  • AES (Advanced Electronic Signature) is used by default in Sherpany's current signing method

  • QES (Qualified Electronic Signature): is the highest standard in the EU, legally equivalent to a handwritten signature

Docusign supports both types, depending on the signer’s identity verification and the customer’s configuration.

How does it work for meeting organisers?

  1. Prepare the Minutes in Edit Mode: go to the Minutes tab in Edit Mode. Click Request signatures.
  2. Select agenda items: choose which agenda items should be included in the Minutes PDF. This selection overrides permissions from the Agenda tab.
  3. Select the signers: pick who needs to sign the document. Only users who have access to the meeting can be selected.
  4. Set a due date and optional message: set a deadline and, if needed, add a custom message for the signers.
  5. Choose the type of signature: you can choose between Sherpany's built-in method and Docusign (this option only appears in rooms where the feature is enabled).
  6. Request signatures: click the Request signatures button. A new tab will open to log in to your Docusign account.You may be asked for two-factor authentication. Once done, the tab closes and the process continues in Sherpany.
  7. Track signatures: under Manage signatures in the Minutes tab, check the status and timestamps per user.

Note  

You can also stop the signing process, but his action discards all signatures collected so far and requires confirmation.

What happens for signers?

Signers receive a request to sign directly from Docusign. Please note that:

  • No second email is sent from Sherpany

  • They can complete the signature flow directly in Docusign (web or mobile)

  • Only the requester needs a Docusign account. Signers don’t need it, but if they have one, the process is smoother (e.g. no ID check needed every time)

  • You can't add a new signer after starting the process, you would need to cancel and restart the signature request.
