How to manage a request in the Topic Hub

How to add a request?

  1. Click on the create button
  2. Fill out the form
  3. Save

More information on the fields:

  • Requested by: Person who created the request. The requestor is also displayed on the agenda view as information for editors/members.
  • On whose behalf person**: on whose behalf the request is created. If the field contains a value, this value will be displayed as the requestor on the agenda view as information for editors/members.
  • Request by group/department: Group where the request is coming from.
  • Request to group: Group where the request is addressed to.
  • Scheduling proposal: Suggestion for meeting date.
  • Notes: Additional information that is relevant for the people involved in the meeting organization. E.g. information about missing docs 





How to edit a request?

Agenda item requests can be edited by the author of the request as well as the editors of the groups “requested by” and “requested to” as long as a request has status “open”


  1. Click on any request
  2. Click on edit
  3. Adjust the necessary fields
  4. Save




How to copy a request?

  1. Click on any request
  2. Click on the three dots menu
  3. Click on make a copy
  4. Save

How to delete a request?

Agenda item requests can be deleted by the author of the request as well as the editors of the groups “requested by” and “requested to” as long as a request has status “open”

  1. Click on any request
  2. Click on the three dots menu
  3. Click on make a copy
  4. Adjust any fields if necessary
  5. Save


How to schedule a request?

Agenda item requests can only be moved to meetings that have been published.


  1. Click on any open request
  2. Click on schedule
  3. Select a meeting
  4. Schedule

Remove a requested item from the meeting

What happens if I edit an agenda item on the backlog that is already scheduled in a meeting?

It is not possible to edit agenda items on the backlog that have been scheduled for a meeting. On the backlog, the agenda items can only be edited if the status is “Open”.

What happens if I edit a requested agenda item on the agenda, will these changes also be reflected on the backlog?

No, these changes are currently not reflected since there is no sync between agenda and backlog.

What kind of documents can be added to a request?

PDFS and MS Office documents can be added to a request.

How do I know that my request will be addressed in a meeting?

If a request you created is scheduled for a meeting, you will receive a notification. Also, the status of the request is changed to “Scheduled”.

For how long can I add a request?

There is no time limit on Sherpany’s side to add requests for the next meeting. As long as a request has the status “Open” documents can be added to a request
