Why using the filters in the library?
As the number of documents in the Sherpany Library grows, quickly finding the information you need becomes more challenging. Filters help you narrow down your search results based on specific criteria, such as date, keyword, or document type.
This makes it easier and faster to find exactly what you're looking for. In this article, we'll show you how to use filters effectively to navigate the Sherpany Library with ease.
How to use the filters?
- Filter by Document Title - You can filter documents based on their title. Simply type part of the title into the search bar, and the system will display all documents that contain the typed text in their title.
- Filter by Document Type - The system allows you to filter documents by specific types:
- My Documents: Documents you have uploaded,
- Unread: Documents you haven't read yet,
- Favourite: Documents you’ve marked as favourites,
- Recently Added: Documents that have been added recently.
- Filter by Labels - You can filter documents based on labels. If you select multiple labels, you have two options:
- Show results that match all selected labels.
- Show results that match at least one of the selected labels.
- Access Filters - You can search for documents by typing the group or username that has access to the document. If you select multiple groups, the search will return all documents that are accessible to at least one of the selected groups.
- No Labels or No Groups - If you want to find documents that don't have any labels or groups assigned, you can use the "No Labels" or "No Groups" filter. This will show you all documents that are not yet categorized with labels or associated with groups.
How to combine filters?
- Multiple Labels: if you select several labels, the system will display all documents that have at least one of the selected labels.
- Multiple Labels + "No Labels": If you select multiple labels and also choose the "No Labels" option, the system will show documents that either:
- Have at least one of the selected labels, or
- Have no labels assigned.
- Multiple Groups: If you select multiple groups, the system will list all documents that are accessible to at least one of the selected groups.
- Multiple Groups + "No Groups": If you select multiple groups and also choose the "No Groups" option, the system will show documents that either:
- Are accessible to at least one of the selected groups, or
- Have no groups assigned.
- One Label and One Group: If you select one label and one group, the system will show documents that have both the selected label and the selected group.
- Multiple Labels and Multiple Groups: If you select multiple labels and multiple groups, the system will list documents that have at least one of the selected labels and at least one of the selected groups.
- Combining Document Title with Other Filters: If you include a document title filter in combination with other filters, the system will narrow down the results by only showing documents that have the entered text in their title, along with the other filter criteria you've selected.
Information
The filter configuration chosen by the user will now update the browser URL, which means that the URL can be copied and passed to another user as a way to better share a result list or be saved as a browser bookmark for repeated use.
Please note that the permission to each user will also be taken into consideration, and therefore the list might be different.
