How to send an invitation ?
- After creating a new user and filling in all the required information, click on “Send Invitation”.
- The user will then receive an email with a link to register.
- If the user has been created but not yet invited, his/her name will appear with the status “Created”.
How to check the status of an invitation?
Once a user is created, you can track their status in the Users list.
If the invitation was sent but not yet accepted, the user will appear under the status “Invited”.
By clicking on the user’s name, you can see the date and time of the last invitation.
You can also choose to resend the invitation if needed.
Troubleshooting invitations
If a user reports that they have not received the invitation:
- Double-check that the email address is correct.
- Ask the user to verify their spam/junk folder.

Automatic invitation reminders: how does it work?
Sherpany automatically sends reminder emails to users who have not yet accepted their invitations.
When reminders are sent: every Wednesday at 10:42 AM (CET), the system checks for pending invitations.
Logic behind reminders:
A reminder is only sent if at least 2 days have passed since the original invitation. Example: if a user was invited on Monday or Tuesday, no reminder is sent that same Wednesday.
If the invitation is still pending the following week, a reminder will be sent.
How long reminders last: users receive weekly reminders for up to 30 days after the initial invitation.
If you manually resend an invitation from the User Management module, the 30-day period restarts from that moment.
