What is the Admin Portal?

What is the Admin Portal?

The Admin Portal is a dedicated section of Sherpany that complements the main application by combining several administrative modules: Users, Reports, and Accounting.

It allows Organisation Admins to manage user access, monitor usage, and access subscription-related information across their organisation.

Why using the Admin Portal?

In some organisations, IT teams or administrative staff need to manage user access without necessarily having access to Sherpany Meeting Rooms.

The Admin Portal provides them with the necessary tools to do so efficiently while keeping Meeting Room content restricted to the relevant users.

An Organisation Admin does not need to be a member of a Meeting Room to use the Admin Portal.

Information  

Being an Organisation Admin does not automatically provide access to Meeting Room content, such as agendas, documents, minutes, or other meeting information.

To access meeting content, an Organisation Admin must be added separately to the relevant Meeting Room with the appropriate permissions.

Who can access the Admin Portal?

The Admin Portal is only accessible to users with the Organisation Admin role.

The Organisation Admin role can be assigned during the initial setup of your organisation or requested at a later stage.

In both cases, the role must be configured through your Customer Success Manager (CSM). As the Admin Portal provides access to organisation-level administrative and IT-related information, this process ensures that access is granted only to authorised users. If you would like to add or change an Organisation Admin, please contact your Customer Success Manager.

The Admin Portal can be accessed from Settings > Admin Portal in Sherpany.

Information  

The Admin Portal is available only for Executive, Enterprise, and Premium plans.

There is no limit to the number of Organisation Admins an organisation can have.

What can an Organisation Admin access?

The Admin Portal is structured at the Organisation level, meaning that Organisation Admin access is not limited to specific Meeting Rooms.

However, the administrative permissions assigned to each Organisation Admin can be configured individually. Depending on their responsibilities, an Organisation Admin can be granted one, several, or all of the following permissions:

  • Can Manage Users: Manage users and their access across the organisation.
  • Can Audit Rooms: Access reporting and audit information for Meeting Rooms across the organisation.
  • Can View Invoices: Access invoice and subscription-related information.

For example, an Organisation Admin responsible only for user management does not need to be given access to invoices or audit information.

As these permissions apply at the organisation level rather than to individual Meeting Rooms, the Organisation Admin role should only be granted to specifically authorised users, such as members of your IT or administrative teams.

Important  

Organisation Admin permissions do not automatically provide access to meeting content. To access agendas, documents, minutes, or other meeting information, an Organisation Admin must also be added separately to the relevant Meeting Room with the appropriate permissions.


The Admin Portal consists of three key sections: 

UsersReportsAccounting

The Users section allows you to add or manage members of your organisation and manage their access rights.

Depending on the Meeting Room configuration, you can:


  • Add or manage users
  • Assign or revoke access rights
  • Invite users with different roles, such as Administrator, Member, Assistant, Editor, and User Management

The Reports section allows Organisation Admins with the Audit Rooms permission to monitor usage and activity across the Meeting Rooms within their organisation.

The following information are available per room:

  • Dashboard: View general information about the Meeting Room, including the number of users and successful and failed login activity. The chart always displays a fixed 14-day window and shows zero for days without activity. This window applies only to the chart and does not limit the data available in the Action Log.
  • Users: view information about users, including their permissions, last login, group, and status. You can also view successful and failed logins and filter the results to find specific users or activity.
  • Devices: view the devices associated with users, including the device and OS version, app version, device type, and verification status.
  • Action Log: View and filter the actions performed by users in the selected Meeting Room. Entries are retained indefinitely, with no automatic deletion after a set period, so the log covers the full history of the room.

Reports can also be downloaded when the Download option is available.

Information  

Entries associated with a member are displayed only while that member is active in the Meeting Room. If a member is deactivated or removed, their entries are temporarily hidden and reappear if the member is reactivated. No entries are deleted when the member’s status changes.
