How to set up and use the Microsoft 365 integration with Sherpany?

Before you start

Sherpany’s Microsoft 365 integration allows meeting organisers to access documents stored in Microsoft SharePoint and OneDrive and import them directly into a meeting agenda.

Before individual users can use the integration, your organisation may need to authorise Sherpany within your Microsoft 365 environment.

There are therefore two steps to consider:

  1. Organisation setup: your Microsoft 365 IT Administrator may need to grant consent for Sherpany within your organisation’s Microsoft tenant.
  2. Individual user connection: once the integration has been authorised for your organisation, individual users can authenticate with their Microsoft account when accessing SharePoint or OneDrive from Sherpany.

Information  

Your Microsoft 365 administrator and your Sherpany users do not necessarily need to be the same person. We recommend involving your IT team for the initial setup.

How to connect Microsoft 365 with Sherpany?

Before your team can access Microsoft 365 content from Sherpany, an administrator may need to approve the integration for your organisation.

This authorisation allows Sherpany users to authenticate with their Microsoft accounts and access the SharePoint sites and files they already have permission to access.

The integration uses OAuth 2.0. Sherpany does not receive or store your Microsoft password.

Once the necessary consent has been granted, Sherpany users can proceed with the individual connection.

You do not need to manually configure SharePoint or OneDrive in Sherpany. When you import a Microsoft 365 document for the first time:

  1. Open the relevant meeting in Edit Mode.
  2. Go to the Agenda tab.
  3. Click Add document on an agenda item, or Add documents in the side panel.
  4. Select Import from SharePoint.
  5. If you are not already authenticated, a Microsoft login window will open.
  6. Sign in using your Microsoft account.
  7. Follow the Microsoft authentication steps displayed on screen.

Note: for the SharePoint and OneDrive integration, the following API permissions are required:

  • email
  • offline_access
  • Files.Read.All
  • openid
  • profile
  • Sites.Read.All
  • User.Read
  • AllSites.Read
  • MyFiles.Read

How to import documents from SharePoint or OneDrive?

Once connected, you can access the Microsoft 365 content available to your account.

You can:

  • Select from the SharePoint sites you have access to,
  • Navigate through folders,
  • Search for a specific document within the selected site,
  • Select one, multiple, or all documents in a folder.

Select the documents you want to use and import them into your meeting. The selected documents are automatically converted into PDFs by Microsoft and added to the Sherpany meeting agenda. 

The following formats can be imported:

  • PDF
  • DOCX
  • XLSX
  • PPT

The maximum file size is 100 MB per document.

Information  

Sherpany does not give you additional access to Microsoft 365 content. The SharePoint sites and documents available to you depend on the permissions associated with your Microsoft account.

Once the organisation-level setup has been completed, other eligible Sherpany users can access the integration using their own Microsoft accounts. Each user authenticates with Microsoft and can access the SharePoint sites and files available to them according to their existing Microsoft 365 permissions.
