These processes apply only to internal users (those with a company account). Users with a private email address are managed directly in the Sherpany room.
What is user provisioning?
With SCIM-based User Provisioning, user management in Sherpany is handled through your organization’s User Management System (e.g., Entra ID). Users should not be manually added or removed in a Sherpany room (via the room’s user section); all changes must be made through your organization’s system.
How do I add a user to a room with user provisioning?
Important
Do not create internal users directly in Sherpany, as they will be unable to log in.
To grant internal users access to Sherpany, please follow the process outlined below:
- Requesting user access: to add a new user to a Sherpany room, please submit the request through your internal User Management System. For guidance on the process, contact your designated Sherpany contact within your organization.
- User Creation: once approved, the user will be automatically added to the Sherpany room. The user will always be created with the default role “User (with restricted permissions)”. Additionally, no invitation email will be sent - the user will be immediately active in the Sherpany room.
- Adjust role/group in Sherpany: after the user has been added, the user manager can assign the appropriate role (e.g., upgrade to "Group Manager") and add the user to specific groups within the Sherpany room (e.g., Finance Committee).
Warning
For the roles "Assistant", "Guest" and "Minutes viewer", a specific process must be followed (see here).
How do I remove a user to a room with user provisioning?
If you want to remove a user from a room, please follow the process outlined below:
- Requesting user removal: to remove a user from a Sherpany room, please submit the request through your internal User Management System. For guidance on the process, contact your designated Sherpany contact within your organization.
- User removal: once approved, the user will be automatically removed from the Sherpany room.
