Sharing the Minutes with non-participants

What is the Minutes Viewer feature?

This feature helps Meeting Organisers to easily share the the minutes with users that are not participants, guests or contributors. These could be Sherpany users (regular or guest licence) who simply need to stay informed of the results of a meeting.

Minutes Viewers can access selected minutes, without accessing the full meeting agenda. This avoids the need to manually extract minutes and send them via email, helping reduce versioning errors and ensuring information stays secure and centralised.

How to share Minutes with a Minutes Viewer?

In Edit Mode, on the Minutes tab of your meeting, you can share minutes with individual users in two ways: 

1. To share the minutes of a single agenda item, click the Share icon next to the minutes and select one or more users from the list. 
2. To share the minutes of multiple agenda items, use the checkboxes to select the relevant items, then click Share from the top menu and choose the users. 

Once shared, a special icon will appear on the Minutes tab to indicate that the item is shared. Additionally, you can find the full list of Minutes Viewers in the Details tab, under a dedicated section.

Which content Minutes Viewers can see?

Minutes Viewers will have access to the following:

• Minutes text
• Tasks
• Decisions
• Agenda documents marked as part of the minutes

However, Minutes Viewers can't see:

❌ Agenda items text

❌ Comments

❌ Agenda PDF, Meeting Book PDF, Invitation PDF

❌ Personal notes

What is the Minutes Viewer Licence?

A dedicated licence allows you to invite external people (without an existing Sherpany account) to view minutes only. These licences come with further possibilities and restrictions. If your organisation is interested in this extended functionality, please contact your Customer Success Manager directly.
